How to Choose Software for Your Petrol Pump: A Buyer's Checklist
Every software looks good in a demo. Use this checklist to find out whether it will actually run your pump.
Moving from registers and Excel to software is a big step for a pump. The right choice saves hours every day. The wrong one becomes one more register that nobody trusts. If you are wondering how to choose software for your petrol pump, use this checklist during every demo.
1. Does it follow the way a pump really works?
General billing or accounting software is made for shops and offices. A pump sells through nozzles and measures stock with a dip rod. Check that the software understands:
- Shifts, and which employee handled which nozzle
- Opening and closing meter readings, with sales calculated from them
- Tanks, dip readings and dip charts
- Tanker deliveries with invoice quantity and received quantity
- Expected stock, physical stock and variance
2. Does it reconcile money shift by shift?
Ask to see a shift being closed. You should see the expected amount, the actual collection by cash, UPI, card and credit, and the difference. Ask what happens at the end of the day and whether a closed day can be locked.
3. Can it handle your credit customers and fleets?
- Credit limit and credit period for each customer
- Customer ledger, outstanding and ageing
- Vehicle-wise records for customers with many vehicles
- Statements your customers can understand
4. Does it manage your staff?
Attendance, overtime and salary are connected to shifts. Check whether attendance can be verified — for example by location and photo — and whether overtime, advances and deductions reach the salary calculation.
5. Does it cover the rest of the business?
- Expenses and petty cash, with approval
- Purchases and supplier ledger
- Lubricants and other products, with stock
- Maintenance of dispensers, generator and other equipment
- Customer loyalty, if you want repeat customers
Separate tools for each of these mean the same figure is typed many times.
6. Who can see and change what?
This is the question most buyers forget. Ask:
- Are there separate roles for owner, manager, supervisor, operator and accountant?
- Which changes need approval — meter correction, stock adjustment, price change?
- Is there a record of who changed what, when and why?
7. Can you see your pump when you are away?
Check whether you can log in from anywhere and see the reports of the day, and whether staff and customers have a mobile app.
8. Are the reports the ones you need?
Ask for the reports you prepare by hand today: daily sales, nozzle-wise and employee-wise sales, stock variance, outstanding and ageing, expenses, attendance. Open each one in the demo.
9. Is it easy enough for your staff?
The software will be used by attendants at the end of a long shift. Let one of your own staff try entering a meter reading during the demo. If they need a long explanation, look again.
10. Demo, support, price and data
- Demo: will they show you the software working the way your pump works, before you pay?
- Support: who helps you, on which days and hours, and in which language?
- Price: is the price clear, and what exactly is included?
- Data: does your data belong to you, and is it kept private?
